The job today

Reconciliation waits for the last week of the month

Nobody has time on the 12th, so by the 28th it is a project.

Small errors hide in the noise

A duplicated payout, a bank fee coded to revenue, a missing bill. Each is small; together they are why the numbers are off.

Card spend has no receipts

Someone has to chase the cardholder, and usually nobody does.

What the agent does

Daily matching
Bank and card lines matched to your books the day they appear.
Payouts split correctly
Stripe and marketplace payouts broken into sales, fees, refunds and reserves, and posted that way.
Receipts chased
A card charge with no receipt gets the cardholder asked, politely and more than once.
Suggested fixes, never forced matches
Anything uncertain comes to you with the best guess and the reason.
Memo names learned
It learns which cryptic bank memos belong to which vendor, even when the vendor changes its billing name.
A clean hand off to close
By month end the matching is already done, so the close starts on day one.

Your first week

For a business of about forty people. Yours will have its own numbers. Book a call and we will show you.

  1. Monday

We connect read only bank and card feeds and read three months of about 600 transactions.

  2. Tuesday

We propose matching rules from your history. You confirm or correct them.

  3. Wednesday

Daily matching starts. The first exceptions arrive with suggested fixes.

  4. Thursday

Card charges without receipts get their cardholders asked.

  5. Friday

Your books match your bank for the week. You see exactly which lines needed you.

Where it stops

It never

  • Forces a match it is not confident in.
  • Deletes a transaction from your books.
  • Edits a closed month. Corrections go into the current month with a note.
  • Reclassifies between accounts without your approval.
  • Touches your bank beyond reading it.

It always asks you first

  • Any match below the confidence you set
  • Reclassifications between accounts
  • New rules that would auto match a recurring transaction
  • Anything that affects a closed month
  • Card charges with no receipt after two reminders

What it writes down about you

Everything it learns goes into your rulebook, in plain English. You can read it, correct it and take it with you.

3.4
Which cardholders need one reminder and which need three.
3.5
How your accountant likes corrections recorded.
